§ 04Inventory

Inventory management software development

Stock is only accurate if every movement is recorded where and when it happens. We build custom inventory management software as a ledger of movements (receipts, putaways, transfers, picks, adjustments), so on-hand figures are always the sum of what actually happened.

§ 01Ledger

Movements, not counts

Most stock problems come from editing a quantity instead of recording what happened. In inventory management software development we treat stock like an accounting ledger: six movement types, each created by a scan or an approved document, and a balance that is always their sum.

Movement types in an inventory ledger
MovementFrom → toCreated byEffect on stock
ReceiptSupplier → dockGoods-in scan against a POOn hand +
PutawayDock → binScan of bin labelLocation changes
TransferWarehouse → warehouseTransfer order, shipped then receivedIn transit, then on hand

§ 02Structure

Locations and item structure

The location model and the item model are decided first, because every screen, label and report depends on them.

  • locations

    Warehouses, zones and bins

A location hierarchy that matches the building: sites, zones, aisles and bins, each with its own label and rules (pick face, bulk, quarantine).

    Lots, batches and serials

Traceability where it matters: lot and expiry for perishables, serial numbers for equipment, first-expiry-first-out picking where required.

§ 03Counts

Counts and adjustments with an owner

Cycle counting replaces the annual stocktake with small, frequent counts. The system schedules them, hides the expected quantity from the counter, and sends any variance above a value threshold to a person for approval before stock is adjusted.

  1. Count scheduled: doneABC class sets frequency
  2. Counted: doneOwner: Pickerblind count on scanner
  3. Variance found: done−3 units · $41.70
  4. Variance approval: awaiting a decisionOwner: Warehouse leadif value > $25
  5. Adjusted: not startedmovement + valuation

§ 04Replenishment

Reorder rules people can trust

Reorder points, safety stock and supplier lead times are stored per item and location. The system proposes purchase quantities; purchasing reviews the proposal instead of rebuilding it in a spreadsheet every Monday.

§ 05Access

Roles on the warehouse floor

Pickers move stock; leads approve variances; finance sees value. Separating those rights is what makes an adjustment trustworthy.

§ 06Integrations

Integrations and scanning

Inventory sits in the middle of sales channels, accounting, carriers and the devices on the floor. Each of these connections is specified with its timing, because stock that is right in the warehouse but late on the store is still wrong.

§ 07Scope

Inventory system or ERP?

Our inventory management software development services cover both shapes. A standalone inventory system is the right scope when stock operations are the problem and finance can stay where it is. When purchasing, production and finance must share the same stock records, inventory becomes one module of a custom ERP.

Ideal when

  • On-hand figures differ from the shelf and nobody can say which movement caused it
  • Stock is managed in spreadsheets alongside a store or accounting system
  • Several warehouses, channels or lot-tracked items have outgrown a simple stock module

You receive

  • Movement ledger, location model and item structure
  • Scanner workflows for receiving, putaway, picking and counting
  • Reorder rules and replenishment views
  • Integrations, source code and runbooks

Not in scope

  • Warehouse automation hardware (conveyors, robots, sorters)
  • Supplying scanners or label printers (we integrate with them)
  • Finance and purchasing modules beyond stock (see custom ERP)

§ 08Questions

Questions about inventory software

Why build custom inventory software instead of buying an inventory app?

Off-the-shelf inventory apps work well for standard retail and ecommerce stock, and you should not hire an inventory management software development company to rebuild one. Custom inventory management software pays off when your locations, units, lots, kitting rules or channels do not fit the app’s model, or when inventory must integrate tightly with production, service or a custom order process.

How do you keep stock figures accurate?

By never editing a stock number directly. Every change is a movement record with a type, a location, a quantity, a person and a time, usually created by a scan. On-hand is calculated from movements, and variances found in counts are approved and recorded as adjustments with a reason.

Can it work with barcode scanners we already have?

Usually, yes. Most rugged handhelds run Android and a browser or a lightweight app, and label printers accept standard formats. We confirm the devices during the warehouse walk-through and test the workflows on them.

When should inventory be part of an ERP instead?

When purchasing, production and finance need to work from the same stock records in real time (for example, costing work orders or three-way matching supplier invoices against receipts). In that case inventory becomes one module of a custom ERP rather than a separate system.

How is opening stock migrated?

Items and locations are loaded first; then a counted opening balance is loaded at a cut-off and reconciled against the old figures by item and by value. Differences are reviewed with the warehouse and finance before go-live.

Next step

Tell us where the stock numbers go wrong.

Describe your locations, channels and the moments when stock is touched. We will map the movements and propose the first release.
